Before you begin
- Your team members’ email addresses
You’ll need the email address of each person you want to invite to your organisation.
- Available employee seats
The number of people you can add depends on the number of seats purchased for your organisation. For example, if you have purchased 15 seats, you can add up to 15 people.
- Their department information
If your organisation uses departments, you’ll need to know which department each team member belongs to so you can place them correctly
Now that your organisation is set up, it’s time to bring your people in. Your team is the heart of your organisation, and the People section gives you one place to invite employees, organise them into departments, keep track of invitations, and manage external participants.
Ready to bring your team on board? Let’s get started.
1. Open the People section

Sign in to your Encrisoft account and select People from the left-hand menu.
The People section is where you can manage everyone connected to your organisation. From here, you can invite employees, see the users who have joined, organise employees by department, and manage external participants.
On the People page, you’ll find:
- All Users — see the people who are already part of your organisation.
- Invitations — view and keep track of people you have invited to join.
- Department — organise employees according to the departments they belong to.
- External Participant — manage contracted workers and other people who work with your organisation but are not regular employees.
To invite a new employee, select Add Employee.
2. Check your available seats
Before adding an employee, make sure you have an available seat.
A seat is the space allocated for one person in your organisation. The number of seats you purchase determines how many people you can add to Encrisoft.
For example, if you purchase 15 seats, you can add up to 15 people to your organisation. If all 15 seats are already in use, you’ll need to purchase additional seats before adding another employee.
You can purchase more seats through Billing whenever you need to expand your team.
Good to know: Each additional seat gives you room to add another person to your organisation.
3. Add an employee

Select Add Employee to open the Invite Employee window.
Enter the team member’s email address, then select their Role and Department.
- Email address — enter the email address of the person you want to invite.
- Role — select the appropriate role for the team member. The default role is Learner.
- Department — select the department the team member belongs to, or leave it as Unassigned if they do not belong to a specific department.
The invitation link expires in 7 days, so make sure the team member accepts the invitation before it expires.
4. Verify your identity

After you enter the employee’s details and select Send invitation, Encrisoft will ask you to verify your identity before the invitation is sent.
You can choose to receive a verification code by email or use your Authenticator App. Enter the verification code provided to confirm that you are the person sending the invitation, then select Verify & continue.
Once your identity has been verified, Encrisoft can complete the invitation, provided your company domain has been verified and your organisation has an available employee seat.
5. Track the invitation
The All Users section gives you a central place to keep track of the people who have joined your organisation. From there, you can see your team members and use Department to keep employees organised according to where they belong.
Working with contractors? External Participant gives you a place to manage people who work with your organisation but are not regular employees.
You can also return to Invitations whenever you need to check the people you’ve invited.
